To submit your abstract, you must first be registered for the event. If registration has already been completed, simply access your account and submit as many abstracts as you wish.
All works must be submitted in the format of a structured summary, using the form available on the event website and will be evaluated by the Symposium’s Scientific and Technological Committee (CCT).
Only abstracts accepted by this committee will be published in the event proceedings, made available in the Fiocruz institutional repository (ARCA) and presented in poster format during ISI to compete for awards.
The posters will be presented both in person at the event’s exhibition center, and virtually, on the 8th ISI app.
If your abstract is selected for a poster presentation, it is essential that the author participates in person at the event.
The participant who submits the abstract must be the first author and will be responsible for it to the event organization, receiving all communication and having the certificate linked to his account.
There is no limit of the number of abstracts submitted or co-authored per participant.
The inclusion of the name of co-authors does not guarantee their participation in the event. Everyone who wants to participate need to register individually.
During submission, abstracts must be classified into the following categories: vaccines, biopharmaceuticals, reagents for diagnosis, management and other related topics. And at least two areas of knowledge that best characterize the work must be chosen from a list available on the form.
Doubts and issues regarding the submission of abstracts and presentation of posters will be decided by the symposium’s Scientific Committee, which will seek to respond to requests carefully. All decisions of the Commission regarding the acceptance of abstracts will be sovereign and irrevocable.
All submissions must be evaluated by the Scientific and Technological Committee (STC) of the symposium. Abstracts should be submitted in a structured format using the form available on the event’s website.
Abstracts accepted by this committee will be published in the event proceedings, presented as virtual posters during the symposium, and will automatically compete for awards. Some of these abstracts will be selected by the STC for oral presentations in the event’s main program.
The criteria for abstract approval are as follows:
There is no limit to the number of abstracts submitted or co-authored by a single participant.
During submission, abstracts must be classified into the following categories: vaccines, biopharmaceuticals, diagnostic reagents, management, and others. Additionally, up to two areas of knowledge that best characterize the work must be selected from a list provided in the form.
Including co-authors’ names does not guarantee their participation in the event. If they wish to participate, each must register individually.
Questions and doubts regarding abstract submissions and poster presentations will be addressed by the Scientific Committee of the symposium, which will aim to handle requests meticulously. All decisions by the Committee regarding abstract acceptance will be final and irrevocable.
Length: The abstract must be a maximum of 2,250 characters (excluding title, authors, and institution). The system will not accept abstracts that exceed this limit.
Language: The abstract must be written in English. Texts in Portuguese or any other language will not be accepted.
Content: The abstract must not contain figures, charts, or tables.
Structure: The text should follow this format: introduction, objectives, methodology, results, and conclusion.
Title: The title must be typed in lowercase and concisely describe the essence of the subject in no more than 20 words.
Categories and Knowledge Area: When submitting, the researcher must classify the abstract into one of the following categories: V (vaccines), B (biopharmaceuticals), R (reagents), G (management), or OTR (other related topics). They must also indicate the area of knowledge.
Submission: The abstract must be submitted exclusively through the form available in the participant area on the ISI website. Submissions via fax, mail, email, or any other means will not be accepted.
Authors: Authors’ names must be fully written out (maximum of 10 authors). Titles such as “Doctor” or “Professor” must not be included.
Primary Author: The primary author, who is submitting the abstract, will automatically be listed first.
Presentation: The primary author will be responsible for presenting the work via a pre-recorded video. This video will be available to all event participants in the poster area or included in the main event program. Instructions for recording this video will be sent directly to the authors of abstracts approved by the 9th ISI’s STC after evaluation.
Editing and Formatting: It is recommended to draft the abstract in a text editor before submission and copy each section into the respective fields of the form. Care should be taken to ensure that formatting (e.g., symbols, superscripts, and subscripts) is correct.
Keywords: Three keywords must be provided at the end of the abstract. These keywords will help clearly identify the subject of the work and facilitate searches in Fiocruz’s Institutional Repository. A keyword does not need to be a single word and can be a phrase, such as: measles-mumps-rubella; liquid microarray; yellow fever; pharmaceutical assistance; impact assessment; best storage and distribution practices.
Authors whose abstracts are selected by the STC for participation in the symposium will receive detailed instructions via email. These instructions will include guidance on poster creation, video recording, and participation schedules. Please add the email address isi@bio.fiocruz.br to your contacts to ensure that communications are not blocked by your email server’s security filters.
The 9th ISI Poster Exhibition will be entirely digital, displayed on digital kiosks during the three (3) days of the event, as well as on the event’s app as a virtual poster. The poster should be organized similarly to a traditional printed poster but saved as a PDF according to the following recommendations:
Visual Focus: Prioritize presenting the work’s content through images, charts, and tables instead of lengthy text.
Simplified Content: Since the poster will be displayed on screens (digital kiosks, desktops, laptops, and mobile devices), the information should be as simplified as possible.
Background: The poster’s background must be white.
Avoid Clutter: Do not use photos as a background behind text or other information, as it makes reading difficult.
Text: The text on the poster should be concise and easy to read. Avoid continuous text; instead, provide concise points that highlight the research. This approach has greater impact and makes reading more attractive.
Abstract: It is not necessary to include the entire abstract text on the poster, as the full text will be available alongside the poster graphic on the work’s webpage.
Video Presentation: Authors must provide a video of up to five (5) minutes with a simplified presentation of the poster. Selected authors will receive detailed instructions on how to record this video.
Responsibility: Creating and submitting the poster and video to the event organizers is the responsibility of the authors.
Communication and Deadlines: Representatives of approved posters will receive an email with detailed information about participation in the in-person event, submission instructions, and deadlines for files to be included in the virtual app, as well as the date and time for the poster presentation.
Alternate Presenter: If the primary author cannot attend, they may designate a co-author to present the poster during the event.
Virtual Platform: Each poster will have a dedicated space on the virtual platform, including the abstract, the poster, the video, and sections for Q&A and other interactions with the event’s audience.
Engagement: Interaction with the audience is essential, both during the in-person exhibition and via the app. This is crucial for generating interest, answering questions from the Independent Award Evaluation Committee, fostering potential collaborations, and increasing the visibility of the work.
Popular Poster Award: Interaction through the app will play a key role in competing for the Popular Poster Award, which will be given to the work most voted on by symposium participants via the app. Authors will receive promotional materials for their posters, which can be shared on social media or through direct contact with other participants. Authors are also encouraged to create their own materials and mechanisms to promote their work and boost its visibility for a higher chance of winning the award.
Students from outside Rio de Janeiro who submit their abstract for presentation at the 8th ISI and are approved for poster exhibition, will be able to compete for ten support grants so that they can come in person to present their work. The criteria to apply for this support are:
1. Candidates must be students without employment and live outside the city of Rio de Janeiro;
2. Candidates must have their abstract approved for exhibition at the event;
3. The selection of winners will be based on four criteria:
– distance from the city of residence in Rio de Janeiro;
– oral presentation in plenary or pitch presentation in the arena;
– note of the abstract evaluation made by the Symposium Scientific Committee (CCT);
– order of arrival of the cost assistance request.
4. Support scholarships will be awarded, worth approximately R$1,400.00, to help selected candidates;
5. Interested parties must fill out the form that will be sent by email to approved abstracts by April 4th;
6. Candidates selected for scholarships will be informed by email by April 5th and the amount will be deposited into the current account of the benefiting authors;
7. The decision of the event organization is final and cannot be appealed.
To publish works by Bio-Manguinhos collaborators, whether authors or co-authors, NIT-Bio approval is required. This release must be made on the summary submission form, by attaching the publication authorizations given by the following bodies: immediate supervisor and deputy director. These authorizations must be requested before the work is submitted to the Scientific Committee, so that they can be attached to the form.
Proof of Genetic Heritage registration must also be attached to the form, when applicable.
